E.7        SCOPE OF THE STAFF PROFILE FILE

 

7.1          Records to be included

 

The Staff Profile File is to contain records relating to the following types of persons:

 

(a)          They are "staff members" (as defined in the Glossary).

 

(b)          They undertook work in the "institution" (as defined in the glossary) some time during the 2000 Collection Year (as defined in the Glossary).

 

7.2          Number of records for each person

 

Usually there will be only one record in the Staff Profile File for each staff member.  However, if a person has more than one appointment and these have different values for Element 039 (Personnel category), then there must be more than one record for the person.

 

If a person has more than one appointment but these are of one personnel category, then the multiple appointments are to be treated as a single appointment and there will only be one record in the Staff Profile File for that person.

 

In the Staff Profile File there will be only one record which will have a particular value for Element 037 (Staff number) concatenated with Element 039 (Personnel category).

 

7.3          Elements to be reported in the Staff Profile File

 

The elements for which data are to be reported in records in the Staff Profile File are listed in the section describing the structure of the flat ASCII files to be prepared by institutions.

 

7.4          Links to other files

 

The data in records in the Staff Profile File will be linked in the National database to data in records in the Staff FTE File through Element 037 (Staff number) concatenated with Element 039 (Personnel category) (see the Data Element Dictionary for the base elements).  There will be a "one to many" relationship between records in the Staff Profile File and records in the Staff FTE File.  This means that there will be only one record in the Staff profile File having a particular value for Element 037 (Staff number) concatenated with Element 039 (Personnel category) but in the Staff FTE File there can be more than one record having that value of Element 037 (Staff number) concatenated with Element 039 (Personnel category).

 

7.5          Submission of the Staff Profile File

 

There will be only one submission of the Staff Profile File:
