E.4        SCOPE OF THE QUALIFICATION CESM FILE

 

4.1          General principles

 

The Qualification CESM File is to contain one or more records for each of the qualifications which are referred to in records in the Qualification File though Element 001 (Qualification code).

 

4.2          Number of records in the Qualification CESM File

 

The number of records in the Qualification CESM File will be equal to or greater than the number of records in the Qualification File.

 

While the value for Element 001 (Qualification code) may appear in more than one record in the Qualification CESM File, there must be only one record with a particular qualification/CESM combination (i.e. with a particular value for Element 001 (Qualification code) concatenated with Element 006 (Major field CESM).

 

The Qualification CESM File may contain records for qualifications which do not appear in any record in the Qualification File.

 

4.3          Elements to be reported in the Qualification CESM File

 

The elements for which data are to be reported in the Qualification CESM File are listed in the section describing the structure of the flat ASCII files to be prepared by institutions.

 

4.4          Links to other files

 

Data in records in the Qualification CESM File will be linked in the National database to data in records in the Qualification File through Element 001 (Qualification code).  This relationship is described in Section 3.4 in the description of the Scope of the Qualification File.

 

4.5          Submissions of the Qualification CESM File

 

There will be at least two, and possibly three submissions of the Qualification CESM File.  The number of submissions will be the same as the number of submissions for the Qualification File. 

 

The dates for the submissions will be the same as the dates on which the Qualification File submissions are made.

 

The first submission file will report data for all elements in the Qualification CESM File.

 

The second submission file will be a copy of the records in the first submission file, with the following changes:

 

(a)          Inclusion of additional records which were inadvertently omitted from the first submission file.

 

(b)          Deletion of any records which should not have been included in the first submission file.

 

(c)          Updating of any incorrect information for elements reported in the first submission file.

 

The third submission file will only need to be provided if there is a third submission Qualification File.  In that case this file will be a copy of the records in the second submission file, with the following changes:

 

(a)          Inclusion of additional records which were inadvertently omitted from the second submission file.

 

(b)          Deletion of any records which should not have been included in the first submission file.

 

(c)          Updating of any incorrect information for elements reported in the first submission file.
