DATA ELEMENTS 561 TO 570

ELEMENT NUMBER/NAME:

561         Multiple course indicator.

FIRST YEAR:

1999

LAST YEAR:

FIELD NAME:

MULTCRSE

DESCRIPTION:

A code indicating whether or not a record in the Course Registration File is to be included in an unduplicated count of courses being undertaken in the Collection Year.

CODE FORMAT:

Data type:

Text

Format:

Width:

1

CLASSIFICATION:

Code

Meaning

Derivation

C

The record for the course is to be included in the count.

In the CREG file, for a student there is only one record for the particular course amongst those courses being reported for that student in the Collection Year, OR:

For the student, there are other records for the same course, but the record being coded has the highest rating for E032 (Course completion status).

N

The record for the course is NOT to be included in the count.

For the student there is more than one record for the same course and the record being coded does not have the highest rating for E032 (Course completion status).

CODING NOTES:

"Highest rating" is determined thus:

The records which have the same value for E007 (Student number) concatenated with E030 (Course code) are inspected, and:

(a)  If only one of the records is coded "C" on E032 (Course completion status) then that record is assigned the value of "C" on E561.  Goto step (i)

(b) If more than one of the records is coded "C" on E032, then the first of those records is coded "C on E561.  Go to step (i)

(c)  If only one of the records is coded "S" on E032 (Course completion status) then that record is assigned the value of "C" on E561.  Goto step (i)

(d) If more than one of the records is coded "S" on E032, then the first of those records is coded "C on E561.  Go to step (i)

(e)  If only one of the records is coded "W" on E032 (Course completion status) then that record is assigned the value of "C" on E561.  Goto step (i)

(f)  If more than one of the records is coded "W" on E032, then the first of those records is coded "C on E561.  Go to step (i)

(g) The first of the multiple records for the student is coded "C".  Goto step (i)

(i)   All other records are coded "N" on E561.

The above process ensures that for a particular student, only one of the records for the particular course is coded "C", and all other records for the particular course are coded "N".
